PPM contracts & compliance
Air Conditioning Maintenance Contracts
Planned Preventative Maintenance keeps air conditioning working, compliant and budgeted. We look after single sites and multi-site portfolios UK-wide, with scheduled visits, statutory F-Gas record keeping, a digital asset register per site and priority response when something goes wrong.
What a PPM contract covers
Contracts are built around the plant and how hard it works, not a one-size package. We survey the site, build the asset list and propose a visit frequency and price per year.
- Scheduled service visits (quarterly, six-monthly or annual)
- Statutory F-Gas leak checks and record keeping
- Filter, coil and condensate maintenance
- Performance and refrigerant charge monitoring
- Priority response and agreed attendance times
- Annual condition report and capital planning advice
Digital asset register for every site
Every maintained site gets a live online asset register listing each unit, its location, make, model, serial, refrigerant type and charge, plus its full service and breakdown history. It is the evidence facilities managers need for audits — and it means nobody has to hunt through paperwork to find out what is on the roof.
QR codes and fault reporting
We label each unit with a QR code. Scanning it opens that unit's record, so an engineer or site staff member can see its history and report a fault on the spot. Site pages can be password protected so only your team sees them.
Compliance responsibilities
Under F-Gas regulations the operator of a system holding 5 tonnes CO₂e or more must have it leak checked at set intervals and keep records. Our contracts carry out those checks and maintain the records on your behalf, so you can produce them on demand.

Frequently asked questions
What is the difference between servicing and a maintenance contract?
A service is a single visit. A maintenance contract schedules those visits across the year, adds statutory F-Gas record keeping, priority response and a maintained asset register, at a fixed annual price.
How many visits a year do we need?
Typically annual for light-use offices, six-monthly for most commercial sites, and quarterly for kitchens, server rooms and heavy-use plant. We recommend a frequency after surveying the site.
Can you maintain multiple sites across the UK?
Yes. We run multi-site portfolios nationwide with consolidated reporting and one point of contact.
What happens if a unit breaks down between visits?
Contract customers get priority attendance. Repairs are quoted separately unless a specific inclusive arrangement has been agreed.
Will you take on equipment installed by another company?
Yes. The first visit is a condition survey that builds the asset register and lists any remedial work needed before the plant goes onto a schedule.
